Subscription management overview

By using Loop subscriptions, brands unlock access to a comprehensive subscription management platform. From the admin portal, you can seamlessly manage every aspect of a subscription, including product details, billing frequency, shipping preferences, payment methods, and more. Whether it's updating subscriber information or taking key actions like pause, cancel, reschedule, or product swap, everything can be handled efficiently from a single place.


This article aims to walk you through all the available features, giving you the knowledge and tools to streamline and simplify your subscription management process.

Access subscription page


The brand can log in to the Loop admin portal and efficiently manage subscriptions to ensure a smooth and uninterrupted subscriber journey.


Follow these steps to complete the process.


  1. Navigate to Loop > Subscriptions > Search for the customer's “Subscription ID” in the Subscriptions tab.



  1. The subscription management screen is opened. In the next part of the article, we will discuss each section visible on this screen in detail.



Critical subscription controls


These actions significantly affect the subscriber’s journey and are treated as master-level controls within the subscription lifecycle.

  1. Cancel: To cancel the subscription, click the "Cancel" button. A confirmation popup will appear, allowing you to add a reason and other relevant information.
  2. Pause: To pause the subscription, click the 'Pause' button. A confirmation popup will appear, allowing you to pause the subscription based on the intervals defined in the system.

Products section


Loop offers a robust subscription editing utility, empowering merchants to perform a wide range of actions on subscription products directly from the admin portal.


The screenshot below highlights the various actions available in this section. Each numbered icon corresponds to a specific setting or feature, which is explained in detail below.


  1. Add new products within an existing subscription: To add a new product, either as part of the subscription or a one-time add-on, click the "Add product" button to complete the action.
  2. Remove existing items from the subscription: To remove any item from the subscription, click the "Bin" button to complete the action
  3. Swap product or change quantity of the existing item: Click the "Pencil" icon next to the product, then use the next dialog screen to either swap the product or update its quantity as needed.
  4. Add discount to subscription: To add an additional discount, click the "Add discount" button and configure it based on your use case. You can choose from four types of discounts: Fixed amount, Free shipping, Percentage, or Shopify code.
  5. Update shipping price: To update the delivery-related shipping price, click the "Pencil" button next to the Delivery price section and enter the new rates as per the use case.


Overview section


This section provides a quick summary of key subscription details, as given below.


  • Status: Current state of the subscription (e.g., Active, Paused, Cancelled).
  • Created on: Date when the subscription was initially created.
  • Next order: Scheduled date for the upcoming subscription order.
  • Completed orders: Number of orders successfully processed under this subscription.
  • Subscription spent: Total amount spent by the subscriber till date on this subscription.

  1. Access customer portal: By clicking this button, the merchant will be redirected to the customer portal, where they can view all subscription-related information and available actions from the subscriber’s perspective.
  2. Send the portal link on customer email: Using this action, the merchant can directly send the customer portal link to the subscriber’s email, allowing them to access their portal instantly.


Customer details section


This section provides customer-related details including name, email, total amount spent on the subscription, number of orders within the subscription, total orders placed, and a summary of active and overall subscriptions.



Last order details section


This section provides a quick summary of last order placed in the sysytem.

  1. Order number: By clicking the order number link, the admin will be redirected to the corresponding Shopify order page, where they can view all the details related to that specific order ID.


Future and past orders details section


This section covers all order-related data, including the upcoming delivery schedule and past orders that have been completed as part of the subscription journey.

  1. Order schedule: This subsection provides a complete list of upcoming orders scheduled for delivery. Any changes made to the delivery schedule will be reflected here in real time.
  2. Order history: This subsection displays the list of past orders that have been successfully completed as part of the subscription.
  3. Place order: To place an immediate order based on specific requirements, click on the "Place order" button. Once triggered, you'll be prompted to choose whether to maintain the existing schedule or prepone the next order, select the appropriate option as per the need.
  4. Skip order: To skip the upcoming order, click on the "Skip order" button to complete the action.
  5. Reschedule: To reschedule an upcoming order, click on the "Reschedule" button and select the new preferred delivery date to complete the action.


Subscription details section


This section provides a quick summary of key subscription details, as given below.


  • Next order: Shows the next order delivery date.
  • Deliver every: Give details about the selling plan frequency
  • Charge every: Explains how the charge-per-order behavior works, whether the customer is charged after every delivery, every 2 deliveries, and so on.
  • Anchor day: Indicates the specific day a subscriber will be charged, if the setting is enabled at the selling plan level.
  • Min payments: It tells the minimum billing cycles before the customer can cancel. The initial order counts towards this limit.
  • Max payments: It tells the number of billing cycles after which the subscription automatically expires. The initial order counts towards this limit.

  1. Edit: To change the selling plan details like frequency, billing interval, anchor day, and other related settings, click on the "Edit" button to make the necessary updates.


Order notes section


This section provides details about order notes and attributes, offering additional context and information related to the orders placed.



Payment details section


This section provides an overview of payment-related details, such as the saved card and the last updated date of the payment method.


The screenshot below highlights the various actions available in this section. Each numbered icon corresponds to a specific setting or feature, which is explained in detail below.



  1. Update this payment method: Clicking this button allows payment method updates in two ways: either by sending a link via email to the subscriber for self-update, or by the admin updating it directly if the subscriber has shared their card details.
  2. Switch to another payment method: This button allows adding a new payment method or selecting from multiple payment methods already saved in the system.


Activity logs section


This section maintains a detailed history of all actions performed on the subscription, helping track changes and ensuring transparency across updates.



Shipping address section


This section provides information related to the shipping address of the subscriber.


The screenshot below highlights the various actions available in this section. Each numbered icon corresponds to a specific setting or feature, which is explained in detail below.



  1. Edit: To update the subscriber’s address, click the "Edit" button and enter the updated details in the popup that appears to ensure the address is correctly saved.
