Subscription notes and attributes

Subscription notes and attributes allow brands to capture additional information about a subscriber’s order. These fields are useful for custom requirements such as personalization, gifting, delivery instructions, or internal use cases like tagging or tracking. This data is stored at the subscription level and can be used to better manage fulfillment and customer experience.

In this article, we’ll explore how these fields appear, how brands can use them effectively, and where to find them in the Loop admin panel.

What are order notes and attributes?

Order notes are specific messages or instructions added by the customer at the time of purchase. These might include requests for special handling, shipping instructions, gift messages, or any other detail the customer wants the brand to consider while fulfilling the order.

Order notes can be collected during checkout and can also be added later from the customer portal.

Attributes are predefined fields used to capture structured information related to an order. These could include product variations like size or color, delivery preferences, shipping methods, or internal tags( like upsell ID, checkout link ID) used for inventory, fulfillment or internal debugging purposes.

Together, these help brands personalize fulfillment, streamline internal processes, and offer a more tailored customer experience.

Note: Attributes occur in Key-Value pairs

What are the use cases?

Some common use cases of order notes and attributes are given as below.

  • Customization requests: Customers may use notes to request personalized product modifications like engraving, embroidery, or custom packaging.
  • Shipping instructions: Notes can include special delivery instructions, e.g., “Leave the package at the back door” or “Deliver on Friday only.”
  • Fraud prevention: Attributes can help flag suspicious orders using criteria like mismatched shipping/payment details or high-risk regions.
  • Inventory Management: Useful for tracking product variants (like size, color, SKU) and ensuring accurate fulfillment.
  • Reporting & Analytics: Helps track key metrics such as Total order volume, Revenue contribution per product, Average order value, Product performance by attribute (e.g., top-selling size)

How can this be used?

Using Loop admin

Follow these steps to complete the process.

  1. Navigate to Loop admin and search for the customer's “Subscription ID” in the Subscriptions tab.

  1. Go to order notes, click on the Edit button, add the note, and save.

  1. Go to additional details, click on the Edit button, “Add the attributes” and save.

Note: When the next order is processed, the added notes and attributes will also appear in the corresponding Shopify order details.

Using customer portal

  • Prerequisites

Before executing the process, we need to make sure these things are in place.

To allow subscribers to add notes to their subscription, enable the relevant setting in the customer portal. Navigate to Loop > Customer portal > Preferences > Subscription actions and turn on the Add/edit order notes option.

If the prerequisites have been met, follow these steps to complete the process.

  1. Subscriber logs in to the customer portal and clicks on the Edit button in the order notes section.

  1. Further, add the order note and click on confirm.

How to leverage this feature?

To maximize the effectiveness of the Order Notes and Attributes functionality, brands can leverage the Auto-update feature powered by Loop. This allows you to automatically control which order notes and specific attributes are carried forward to future recurring orders when a subscription is created. The main aim is to ensure that only relevant and useful information is retained, avoiding the clutter of outdated or unnecessary notes and attributes.

Note: To access the setting, navigate to Loop > Settings > Auto-updates > Auto-update order notes and enable the required settings per business requirement.

In the table below, we’ll outline the different auto-update settings available and what they control.

Setting

Description

Clear order notes when the subscription is created

This is useful when the note created on the checkout order is not relevant for the recurring order to be placed in future by Loop.

Clear order notes when a recurring order is processed

This is useful in case the order notes are only valid for 1 order and need to be cleared up as an order is successfully processed.

Clear specific order attributes when the subscription is created

Add specific order attributes to be removed to prevent them appearing on the future recurring orders placed by Loop. You need to add the exact field name which you can copy-paste from the Shopify order admin page.
